Position Overview
The Human Resources Specialist supports all aspects of HR and payroll administration, ensuring employees receive accurate pay, timely responses to HR inquiries, and consistent policy application. This role coordinates closely with managers, supervisors, and department heads to maintain compliance, support employee relations, manage benefit programs, and uphold safety and union-related processes.
Key Responsibilities
Payroll & Employee Records
Maintain and update employee records, including payroll data, attendance, and vacation accruals.
Process weekly payroll accurately, reconciling timesheets and non-worked hours (vacation, personal, sick).
Calculate and verify payroll hours for temporary staff; communicate with agency for payment processing.
Track and manage deductions, garnishments, and benefit-related withholdings.
Upload and verify 401(k) data from payroll system and assist with related reports.
Sort, distribute, and mail paychecks as needed.
Generate weekly attendance and payroll-related reports.
Benefits Administration
Administer benefit plans including health, dental, vision, life, and disability coverage.
Conduct employee enrollments, process changes, and assist employees with claims or benefit inquiries.
Prepare annual benefits summaries and wage / benefit booklets for management and union employees.
Maintain worker’s compensation records and coordinate claims with insurance carriers.
Safety, Compliance & Employee Relations
Support the Safety Committee in identifying, documenting, and reporting safety concerns.
Maintain OSHA logs and submit required forms (e.g., OSHA Form 300).
Coordinate with plant management on workplace injuries, investigations, and corrective actions.
Assist management with employee counseling, grievances, and disciplinary procedures while ensuring compliance with company policy and union agreements.
Participate in union contract negotiations and maintain accurate documentation of agreements.
Recruitment & Onboarding
Assist with job postings, resume screening, and interview coordination.
Ensure completion of pre-employment documentation (E-Verify, background checks, references).
Conduct new hire orientations and onboarding sessions covering policies, benefits, and job expectations.
Manage temporary employee sourcing and facilitate transitions to full-time employment.
Process employee terminations and ensure exit documentation is complete.
HR Administration & Events
Maintain organized employee, safety, and compliance files.
Conduct annual audits of personnel records and manage document retention schedules.
Coordinate employee engagement and recognition events (safety lunches, celebrations, holiday parties).
Support performance review programs and maintain related documentation.
