Executive Assistant, UNLV University Libraries

The University of Nevada, Las Vegas invites applications for Executive Assistant, UNLV University Libraries. Role of the Position

Reporting to the Dean of University Libraries, the Executive Assistant will provide high-level administrative support to the dean by performing excellent project management, calendaring, communication duties, and management of the Libraries administrative office. The Executive Assistant conveys a professional and welcoming environment incorporating the values of the university and Libraries. The Executive Assistant manages the dean's office, administers the dean's schedule and coordinates communications from dean's office to the Libraries and university. They will be responsible for direct supervision of staff and student employees in support of the Libraries' administration office reception and office functions including 1 FTE classified staff and up to 4 student employees. The incumbent will coordinate with all staff in the Libraries administrative office areas to ensure all office functions are properly supported. They will also support clerical and administrative tasks for the Libraries' Associate Dean, Academic and Administrative Directors. The Executive Assistant will further support the dean by participating in senior level administrative meetings, and is very active in stewardship and cultivation of donors and prospective donors. They incumbent will schedule meetings and create meeting minutes in support of the Dean's and library wide meetings. They will be responsible for updates to the Libraries' staff google site and various internal documents from Libraries' Administration. The Executive Assistant will coordinate the academic faculty evaluative processes including the annual evaluations, merit, promotion & tenure, and outside activity request approval as specified by the NSHE Handbook, UNLV bylaws and University Libraries Faculty bylaws. They will liaison with the Libraries Faculty Promotion and Tenure Committee and UNLV Faculty Affairs to ensure all faculty processes are managed and processed according to policy and will communicate with Provost's and President's office about forms, deadline, record-sharing, and procedures. Minimum Qualifications

This position requires a Bachelor's Degree from an accredited college or university as recognized by the United States Department of Education and / or the Council on Higher Education Accreditation (CHEA) and 5 years of comparable experience in an academic environment. Credentials must be obtained prior to the start date. Competence and sensitivity in working with individuals who are highly diverse regarding many facets of identity, including but not limited to gender, ethnicity, nationality, sexual orientation, ability, income, level of educational attainment, and religion. Exceptional interpersonal, written, and verbal communication skills with the ability to communicate effectively and resolve issues and problems while providing excellent customer service Minimum of one year of supervisory experience Strong organizational skills with experience managing complex projects, prioritizing tasks, and working autonomously to handle multiple projects and responsibilities effectively Critical thinking and problem-solving skills to analyze information, identify needs, and formulate solutions Familiarity with the mission and services of academic institutions Ability to maintain a high level of attention to detail and commitment to accuracy Ability to exercise sound judgment and to exercise complete discretion in the management of confidential information Ability to develop and cultivate strong and collaborative relationships within the library and institution Excellent working knowledge of computer programs such as Excel, Word, and Google Workspace Preferred Qualifications

This is a full-time, 12-month, Administrative Faculty position at a Grade B. Minimum salary is $70,000.
