We are seeking a detail-oriented Accounts Payable Specialist to join our finance team in a hybrid role requiring three days on-site per week. This position focuses primarily on accounts payable functions (90%) with some accounts receivable responsibilities (10%). The ideal candidate will have extensive experience with credit card processing, month-end reconciliations, and QuickBooks.
Key Responsibilities
Accounts Payable (90%)
- Process and manage high-volume accounts payable transactions
- Handle extensive credit card processing and reconciliation
- Perform detailed month-end reconciliations and closing procedures
- Review, code, and process vendor invoices for accuracy and proper authorization
- Maintain vendor files and resolve payment discrepancies
- Prepare and process payment runs including checks, ACH, and wire transfers
- Ensure compliance with company policies and procedures
Accounts Receivable (10%)
Process customer payments and depositsMaintain customer account recordsAssist with collections activities as neededGeneral Responsibilities
Prepare detailed financial reports using advanced Excel functionsMaintain accurate records in QuickBooks systemSupport month-end and year-end closing processesCollaborate with internal departments to resolve accounting issuesAssist with audit preparation and respond to auditor requestsRequired Qualifications
QuickBooks Experience : Proficient in QuickBooks Pro / Premier or EnterpriseAdvanced Excel Skills : Strong proficiency in Excel including pivot tables, VLOOKUP, and complex formulasCredit Card Processing : Extensive experience with credit card reconciliation and processingEducation : Associate's degree in Accounting, Finance, or related field preferred; equivalent experience consideredExperience : Minimum 3-5 years of accounts payable experienceTechnical Skills : Proficiency in accounting software and Microsoft Office SuiteEssential Skills & Attributes
