The Office Manager organizes and coordinates administrative operations and procedures for the office, to ensure effectiveness & efficiency. The ideal candidate is experienced in handling a wide range of administrative support related tasks, tech savvy (ideal) and willing to work independently with little or no supervision. This person must be exceedingly well organized, maintain a high level of confidentiality (a must), flexible and enjoy the administrative challenges of supporting an office of diverse people. Essential Functions Front Office / Administrative

  • Open front office, answer phone, greet visitors
  • Separate incoming mail and distribute
  • Keep reception and front office area clean and organized
  • Enter new customer info into database, keep customer contact information up to date
  • Prepare employee T-Mobile report
  • Fill out vendor / customer forms, send out credit requests and provide credit references

Accounts Receivable / Accounts Payable

  • Charge customer credit card and ACH
  • Deposit paper checks and print Daily Deposit Report
  • Reconcile chase.com deposits with company records
  • Monthly statements, past-due notices
  • Create vendor invoices in QuickBooks
  • Make vendor payments and prepare checks for signing
  • Manage tax and reseller forms
  • Timecards

  • Verify electronic clock with paper punches
  • Enter employee PTO days for payroll
  • Purchasing

  • Place orders with vendors by phone, web, or email
  • Manage returns and credit memos
  • Look for sources / negotiate with vendors for best value
  • Verify orders received and scheduling payment
  • Get quotes for Fedex, UPS, Messenger, Freight, and other vendors
  • Check prices and resolve discrepancies with vendors
  • Competencies Strong interpersonal communication skills Collaborative, team player Intrinsically motivated Take ownership and independent action Ability to see the big picture and execute vision Effective in communicating with executive management Required Education and Experience 5 years’ administrative assistant experience Experience managing company activities and providing administrative support. Strong with Microsoft Excel, Outlook, and PDF Preferred Education and Experience Printing industry experience is beneficial. QuickBook Online (QBO) FileMaker Pro Work Environment This job generally operates in a professional office environment but may frequently need to work with employees in a production environment where he / she may be exposed to fumes or airborne particles, moving mechanical parts, vibration and moderate to loud noise level. This role routinely uses standard office equipment such as computers and smartphones. Position Type / Expected Hours of Work This is a full-time position with a standard schedule of 40 hours per week. Overtime on evenings and weekends may be required depending upon business necessity.
