We are currently looking for a Temporary Administrative Specialist to join our team. The role would be 40 hours per week January 26 - April 17, 2026.

Our best Administrative Specialists are efficient and can manage their own workload while working with multiple people. They are resourceful, possess excellent problem-solving skills, and have a genuine passion for organization. They understand that providing exceptional customer service is of utmost importance and take great pride in the level of service they offer to our clients.

The Administrative Specialist should expect to :

Under moderate supervision and with latitude for the use of initiative and independent judgment, the Administrative Specialist is responsible for performing advanced and complex administrative duties including the following :

  • Support client service professionals with administrative tasks, such as drafting letters, running reports, communicating with clients, and scanning documents for filing or processing
  • Monitor reports and follow up with clients to ensure that returns are filed on time
  • Assist with front desk reception
  • Provide administrative support by executing scanning and autoflow tasks, maintaining cleanliness and stock in break rooms, and organizing and managing files efficiently
  • Prepare and meter postal mail
  • Schedule and organize office meetings, including making catering arrangements, set up and cleanups
  • Serve as a support role in finalizing professional documents to be delivered to clients
  • Other administrative or firm tasks based upon interest and need

What you will need for this position :

  • Comfortability navigating new technology tools and demonstrated proficiency in MS Windows, Adobe and Office suite. The role requires the ability to quickly grasp and become proficient in a variety of software applications relevant to the position. Candidates should demonstrate a willingness to learn and adapt to new technologies as needed.
  • Demonstrated time management skills, ability to prioritize, and adapt to change.
  • Excellent oral communication and organizational skills.
  • Attention to detail.
  • Willingness to perform under pressure when deadlines call for swift action.
  • Ability to multi-task without sacrificing accuracy.
  • Collaborative and effective in working with different leadership styles and a variety of individuals at all levels within the organization.
