Essential Duties and Responsibilities

Service Delivery

  • Provide support to district-level administrative staff in developing procedures and reaching goals to enhance the Leaves processes
  • Provide employees with accurate and information related to medical certification requirements, return-to-work, and Leave guidelines
  • Serve as liaison for other departments regarding leaves, absence balances, state days, payroll etc.
  • Recommend new approaches, policies and procedures to effect continual improvements in efficiency of department and services performed
  • Provide direction and guidance with employees and supervisors concerning FMLA and other extended leave options displaying thorough knowledge of Federal and State laws including FLSA, FMLA and various other regulations
  • Monitor all documentation to determine accuracy of information; Review all leave and disabilities related documentation for completeness, communicate and forward notification to the proper areas accordingly; Identify problems and priorities, perform research, determine follow-up steps and resolves issues to completion
  • Audit leave files and assume responsibility for correspondence relating to leaves of absence for all district employees; Handle situations which may require adaptation of response or some research according to employee's personal circumstances
  • Exemplify direct knowledge related to various leave types (FMLA, TDL, UPL, Absence Balance, etc.)
  • Maintain compliance with all federal and state regulations in relation to all FMLA guidelines
  • Provide ongoing advice, assistance and guidance concerning continuous improvement of Leaves processes
  • Maintain a high level of confidentiality of information

Administrative Support

  • Administer various plans and procedures per Human Resources for all employees
  • Advise and assist in all areas of Human Resources and troubleshoot issues before escalating to next level
  • Serve as a resource and assist in resolving complex questions and issues
  • Participate in the development of department goals, objectives and systems
  • Ensure involvement in extra projects as needed, including compiling reports and providing training to team members

  • Bachelor's degree
  • Minimum of 2 years of clerical experience
  • Demonstrated knowledge and skill in the use of personal computers and software
  • Ability to multi-task, work under pressure, and meet deadlines
  • Proficiency with PC operation including word processing, excel spreadsheets and databases
  • Attention to detail with a high level of accuracy
  • Ability to work independently
  • Ability to maintain a high level of confidentiality
  • Strong communication skills, both orally and in writing, and strong interpersonal and organizational skills
  • Bilingual English / Spanish preferred

Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.

    Additional Information

  • Work is primarily in an office but also requires work outside the office. Work on very detailed, employee-sensitive, highly confidential documents while maintaining a high level of integrity and discretion. Work for long periods of time on tasks with a high degree of accuracy. Work may involve completion of analytic and narrative documents with deadlines, involving stressful situation and long hours.
