Office Assistant

As the Office Assistant, youll be an integral part of our Madison office operations - keeping things organized, stocked, and moving efficiently.
Key Responsibilities :
- Provide friendly, professional reception coverage during absences, lunches, and PTO for the Front Desk Assistant
- Greet all visitors and callers, ensuring a welcoming experience
- Monitor building access and door security
- Support departments with administrative needs such as creating packets and laminating signs
- Handle daily mail processing, billing, and distribution
- Maintain strong relationships with vendors
- Reconcile and approve weekly shipping invoices
- Distribute packages and maintain mailroom standards
- Keep the front desk, conference rooms, and shared spaces organized and clean
- Maintain the office kitchen, including stocking and cleaning responsibilities
- Perform regular fridge cleanouts and restock shared supplies
- Support the fitness center and shower areas by replenishing needed items
- Restock kitchen, coffee, and front desk supplies
- Manage fruit deliveries, beverages, and office water orders
- Coordinate with vendors such as the Canteen service for coffee supplies
- Organize and maintain supply closets and shared inventory
- Manage laundry and dry-cleaning invoices for kitchen linens
- Assist with internal events and celebrations, including catering and logistics
Qualifications :
Strong communication and customer service skillsOrganization, initiative, and a positive attitudeProficiency with computers, including Microsoft OfficeValid drivers license and ability to travel for work purposes is requiredEducation & Experience :
