This position is located in the Dean’s Office of the College of Arts & Sciences and serves as the Executive Assistant to senior-level leadership in the Dean’s Office. The Executive Assistant has significant knowledge of the senior-level administrative duties so as to be able to effectively manage all aspects of their offices. In this capacity, the EA will focus on communicating and coordinating meetings, events, communications, and office management. It will serve as a key and primary contact within the Dean’s Office and provide primary support to the Senior Associate Dean of Undergraduate Studies. The role must have a comprehensive knowledge of the administrative functions of the College’s divisions, associated centers, and department leadership.
The position must analyze, prioritize, and keep track of multiple pieces of complex and often confidential information in order to make accurate, efficient recommendations regarding workflow, and provide facilitation and the processing of information and correspondences. In close collaboration with senior leaders, the EA manages the complex schedules, including requests for appointments, meetings, events and travel with significant discretion and judgement. The job is responsible for independent problem solving, answering questions, providing information, and taking action on behalf of their supervisors. Minimum Education and Experience Requirements High school diploma or equivalency and three years of progressively responsible administrative / office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative / office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. Required Qualifications, Competencies, and Experience Excellent verbal, written, and communication skills are required, the ability to communicate effectively verbally and through written correspondence as well as in communicating with individuals in one-on-one situations. A precise command of grammar, punctuation, and spelling is required. Attention to detail is required. Adeptness with multitasking is required. Computer literacy is required and includes keyboarding ability and proficiency with word processing, spreadsheets, and presentation software. Excellent organizational skills are required. Must be able to work independently, use initiative, and make substantive decisions quickly. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required Preferred Qualifications, Competencies, and Experience Experience working with high-level executives within a university setting is preferred.
