Hospitality & Meeting Support Associate

We are seeking an energetic, service-focused Hospitality & Meeting Support Associate to join our corporate team. This role is ideal for professionals with experience in catering, hospitality, banquets, hotels, or conference services who thrive in a polished, client-facing environment.
What You’ll Do :
In this role, you will be the frontline ambassador for our workplace experience, ensuring every visitor, meeting, and event is executed seamlessly.
Key Responsibilities :
- Provide warm, professional front-desk service by greeting and directing visitors, offering amenities, and ensuring an outstanding first impression.
- Process guest space and conference room reservations, including visitor access coordination.
- Prepare and reset meeting rooms, verifying reservations and ensuring rooms are ready before each event.
- Conduct floor tours at least three times daily, using checklists to maintain optimal appearance and readiness.
- Support catering operations, including food & beverage set-up, replenishment, and post-meeting clean-ups.
- Assist with internal meetings by coordinating with organizers, confirming details via email, and ensuring a smooth experience.
- Oversee pantry upkeep : clean surfaces and appliances, restock supplies, organize the space, manage the fridge, operate the dishwasher, and maintain coffee service.
- Manage supply inventory with par levels and Just-In-Time ordering to reduce waste and ensure product availability.
- Partner with building management to submit and track work orders through completion.
- Support mailroom operations, including sorting mail, notifying recipients, and preparing outgoing packages.
- Assist with printing, binding, and other document support requests.
- Oversee daily operations, maintain weekly event sheets and usage reports, respond to service requests, and proactively resolve issues to deliver exceptional client satisfaction.
