Accounts Payable Specialist

Description We are looking for a detail-oriented Accounts Payable Specialist to join our team in New York, New York. In this Contract-to-permanent position, you will play a vital role within the Finance Department, ensuring the accurate and efficient processing of vendor payments and supporting key accounting functions. This role requires a collaborative individual with strong organizational and communication skills, as well as a solid understanding of best practices in accounts payable.

Responsibilities :

• Process vendor payments promptly and accurately, including grantee and non-grantee batches, manual bill entries, and ACH transactions.
• Manage vendor relationships to ensure compliance and resolve any payment-related inquiries.
• Perform AP aging reconciliations to maintain up-to-date financial records.
• Handle bill capture and mailbox management to organize and streamline invoice processing.
• Administer matching gift programs and ensure proper documentation.
• Oversee 1099 form processing to meet compliance requirements.
• Conduct account coding and invoice coding to ensure accuracy in financial reporting.
• Collaborate with internal staff and external vendors to uphold financial best practices.
• Participate in check runs to ensure timely disbursement of payments.
• Utilize NetSuite to manage accounts payable workflows and reporting. Requirements
• Bachelor's degree in Accounting, Finance, or related field; or equivalent combination of education and experience
• 3-5 years of relevant accounting experience, with a strong focus on accounts payable and vendor management
• Experience in a non-profit or foundation environment is preferred
• Proficient in ERP systems is required; experience with NetSuite strongly preferred. - Advanced Excel skills (pivot tables, VLOOKUP, formulas) and proficiency in Microsoft Office Suite - Familiarity with online banking portals and electronic payment systems
• Exceptional attention to detail and accuracy in data entry and financial reconciliation
• Strong analytical, organizational, and problem-solving skills
• Excellent written and verbal communication skills, with the ability to interact professionally with vendors, colleagues, and senior leadership
• Demonstrated ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment
