Scope of Position
The Banquets Administrative Assistant works closely with Banquets Management team to provide support on all operations related tasks. He / she will be a key member of the Banquets team to ensure the flow of information is delivered accurately between banquets and other departments.
Position Requirements
- Minimum 1-2 years of experience in administrative role preferred.
- Professional demeanor appropriate for a luxury environment.
- Prior luxury hospitality experience preferred.
- Ability to maintain composure and objectivity under pressure.
- Demonstrated ability to handle a multitude of tasks in an intense, ever-changing environment.
Responsibilities
Provide support to Banquets Department including typing, filing, answering telephones and emails, maintaining calendars, sorting mail, and up keeping of records.Make photocopies and send faxes.Attend Banquet Event Order meetings when required.Update Banquet Event Order binders, logs, etc. on a daily basis.Prepare all Pre-Convention binders as needed.Complete daily payroll and gratuity distribution.Track all vacation and sick day requests from Banquet Associates.Capture and record minutes from assigned meetings.Assist on banquet floor when needed.Ensure all banquet checks are processed correctly and filed.Maintain inventory of office supplies, and maintain office.Coordinate and implement department activities and projects, as assigned.Any other reasonable duties as required by management.Education
High school diploma or GED.Skills and Abilities
Ability to communicate in the English language. Second language is a plus.Ability to work flexible schedules including holidays and weekends and able to perform multiple tasks.Experience using computers and software programs such as Microsoft Office (Word, Excel, and Outlook).Physical Requirements
Ability to sit at a desk for long periods of time in front of a computer screen; intermittently twist to reach equipment or supplies surrounding desk; perform simple grasping and fine manipulation; use telephone and computer keyboard on a daily basis.Able to work in a fast paced environment.Be physically fit in order to lift, pull and push items up to 10 pounds.Also requires standing / walking / reaching and bending throughout shift.
