Job Summary :

The Billing and A / P Coordinator plays a critical role in supporting the organization’s financial operations by performing a range of transactional and administrative accounting functions. This role requires accuracy, attention to detail, and the ability to manage multiple responsibilities within established deadlines. Assigned duties may vary over time and are determined based on departmental priorities, individual workload, and evolving business needs.

Key Responsibilities :

Billing

  • Accurately and promptly process client billing in accordance with SLAs and contractual terms.
  • Reconcile data from work tickets and ensure all information is properly recorded in the system.
  • Process billings in accordance with established guidelines.
  • Make necessary adjustments to billing transactions to ensure alignment with SLAs, contracts, or managerial directives.
  • Obtain appropriate approvals prior to invoice generation.
  • Distribute invoices to clients via mail, email, or upload portals as required.
  • Issue client credits in accordance with internal approvals and procedures.

Accounts Payable (A / P)

  • Process AP transactions, including sorting, coding, and matching invoices.
  • Enter and upload invoices into the accounting system.
  • Reconcile AP transactions and ensure alignment with vendor statements.
  • Monitor account activity and investigate discrepancies.
  • Research and resolve invoice issues collaboratively with internal and external stakeholders.
  • Maintain vendor relationships and respond promptly to inquiries.
  • Ensure subcontractors meet Master Service Agreement (MSA) and Certificate of Insurance (COI) requirements upon issuance of purchase orders.
  • Reception Support

  • Serve as the initial point of contact for all incoming Ainsworth service-related calls, ensuring prompt, courteous, and professional handling.
  • Accurately initiate service requests within the system and promptly route or transfer calls to the appropriate department, team, or zone based on client needs and call content.
  • Provide timely and effective communication to internal teams by relaying all relevant client and service information.
  • Perform general reception duties as required, maintaining a professional and service-oriented front-line presence.
  • Qualifications :

  • Strong analytical and problem-solving abilities, with a keen attention to detail.
  • Excellent verbal and written communication skills, with the ability to convey complex information clearly and professionally.
  • Proven ability to manage multiple tasks and priorities effectively in a fast-paced, dynamic environment.
  • Proficient in accounting software systems and Microsoft Office Suite (Excel, Word, Outlook); experience with business intelligence tools is a plus.
  • Demonstrated ability to work both independently and collaboratively as part of a team.
  • Exceptional interpersonal skills with the ability to build and maintain effective relationships with clients, colleagues, and senior leadership.
  • Highly organized, self-motivated, and adaptable to changing business needs.
  • Salary Range $52,000.00 to $55,000.00 / yr
