POSITION SUMMARY : We are seeking a teammate that is confident and experienced in event planning. The Global Event Coordinator plays a key role in ensuring LifeWave's events are successfully executed and aligned with the company's mission. This role includes managing the shared team's inbox, coordinating multiple events at a time, providing on-site support, and collaborating with internal teams and external vendors to deliver high-quality events.
SUPERVISORY RESPONSIBILITIES No supervisory responsibilities for this role.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Inbox Management : Help other coordinators oversee a shared team inbox for multiple events, ensuring timely and professional responses to incoming emails.
- Event Processes : Coordinate processes for events, handle regular event reporting, and manage communications related to events.
- Event Support : Assist event manager with vendor and logistical coordination for various events.
- Expense Tracking & Procurement : Collaborate with the event manager and director to track event-related expenses, submit invoices, and follow up on payments as needed.
- Specialization : May take ownership of specific areas of specialization across all events.
- On-site Event Support : Provide logistical assistance during events as assigned by event managers.
- Team Collaboration : Work with team members on assignments such as event registration, catering, travel coordination, and recognition support.
- Customer Service : Provide excellent customer service by returning emails and assisting attendees with inquiries and needs on-site.
- Other Duties : Perform additional tasks as assigned, including desk-based tasks and event-related physical tasks.
- Additional Duties : Support other events and recognition functions as needed.
- Global Knowledge : Understanding and relationships with other internal Regional Event Managers. Ability to assist with obtaining translations and interpreters for events.
Travel and Time Requirements : Occasional travel up to 25%, along with working evenings and weekends as needed.
QUALIFICATIONS AND EXPERIENCE
Bachelors degree (or 2+ years equivalent experience) in Hospitality, Event Management, Business Management, or related field.Experience 2+ years in event planning in network marketing or event coordination in a corporate environmentKnowledge of Event Registration Software such as Cvent or InEvent, preferredAdvanced knowledge of PowerPoint, Acrobat, and ExcelProven record of accomplishment of creative, successful eventsExperience working with colleagues in graphic design, sales, marketing, and communicationsExcellent organizational, communication, negotiating, and multitasking skillsAbility to remain calm under pressure and maintain a customer-service mindsetExceptional ability to interact with internal and external stakeholders, high emotional intelligence, confident and concise executive communication.Friendly and Professional attitude when interacting with team members and event guests.Presentation Skills : Proficient in creating and delivering presentations to groupsProject Management : Ability to manage multiple projects and events concurrently. Strong organizational skills and attention to detail are important.Technical Skills : Strong budgeting skills and proficiency in Excel and Microsoft Office. Knowledge of SharePoint is a Plus.PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to remain in an office at a computer workstation and access information from a computer. The employee is required to be mobile to, from, and within the office. The employee may occasionally move up to 25 pounds.
WORK ENVIORMENT AND EXPECTATIONS
