We are looking to hire an Entry Level Office Manager to join our team! You will be responsible for overseeing the administrative activities of the organization.

Compensation and Benefits

  • AttachCo is offering a starting wage of $20.00-$25.00 per hour with an initial 90-day review.

Working Hours

  • Monday - Friday
  • 8am - 5 : 30pm
  • Training hours 10am-530pm

    BBSI / AttachCo is looking for a full-time employee, 32-40 hours per week, to work as an office manager as part of a small company. This individual will be the Primary Administrative Assistant under the Senior Executives, whose job will encompass the role of Bookkeeper, Administrative Assistant, HR Assistant, and Executive Assistant to the CEO

    Primary Responsibilities

  • Bookkeeping
  • o Maintaining records in accounting software (RMI) of financial transactions by verifying and posting purchase orders, sales invoices, rental invoices, etc.

    o Paying vendor invoices

    o Maintain or develop bookkeeping, computer and manual filing systems to make them more efficient.

    o Defining new bookkeeping policies and procedures as needed

    o Maintaining and updating chart of accounts to account for financial transactions

    o Reconciling software entries to balance bank and CC accounts

    o Utilizing accounting software to preparing financial reports for CPA’s

    o Ensuring compliance with federal, state and local legal requirements

    o Advising management on compliance needs

  • Office Admin
  • o Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

    o Maintain and / or develop administrative, computer and manual filing systems to make them more efficient

    o Resolve administrative problems

    o Handle sensitive information in a confidential manner.

    o Interact with Customers to send invoices and follow up on payments

    o Interact with vendors to send purchase orders and pay invoices

    o Coordinate various jobs with vendors

    o Interview, develop and supervise junior administrative staff as company grows and hires additional staff

  • Human Resources
  • o Submit payroll to payroll vendor

    o Maintain accurate employee files

  • Executive Assistant Duties
  • o Organize and book travel and entertainment accommodations for senior management

    o Write letters and emails on behalf of senior management

    o Photocopy and print out documents on behalf of senior management

    o Assist in the preparation of regularly scheduled reports

    o Take accurate meeting notes.

    Secondary Responsibilities – As requested by Senior Management

    o Provide general support to visitors.

    o Reply to email, telephone, or face to face inquiries

    o Provide polite and professional communication

    o Order office supplies

    o Receive, sort, and distribute company mail.

    o Assist in the creation of marketing materials as requested by senior management.

    o Assist senior executives in additional tasks as requested.

    Qualifications

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Qualifications in secretarial studies will be an advantage
  • High school diploma : BSc / BA in office administration or relevant field is preferred
  • Experience within the manufacturing / forklift industry a plus
