Administrative Assistant – Real Estate

Salary Range : 52K + Incentives + Bonuses

Location : Fort Collins, CO

Position Type : Contract-to-Permanent Hire

How you’ll spend your time as an Administrative Assistant :

Manage listing marketing (print + digital), including brochures, postcards, social media scheduling, and email campaigns.

Maintain and update templates in Canva.

Upload listings to MLS and coordinate with syndication platforms.

Assist with Google Business Profile updates, blog postings, and social channel engagement.

Prepare pre-listing kits and materials.

Coordinate with stagers, photographers, sign installers, and vendors.

Upload weekly listing activity reports.

Manage closing gifts and referral gifts.

Coordinate client appreciation events (e.g., Thanksgiving Pie Event, New Belgium, Pumpkin Patch etc.)

Maintain SOPs and team drive organization.

Manage and track team subscriptions, expenses, and vendor renewals.

Coordinate schedules, meeting agendas, and follow-up tasks.

Provide occasional support for showings, open houses, or errands.

Occasionally show homes to buyers for the agents on the team and conduct open houses as needed.

Run personal errands for owners.

Participate in 1 hour per week of continuing education.

Work toward obtaining a Colorado real estate license within the first year (course and exam fees covered).

Skills & experience we’d like you to have as an Administrative Assistant :

1+ years of experience in an administrative support role.

Experience with marketing tools such as Canva, Instagram, YouTube Studio, Mailchimp, and Google Workspace.

Strong attention to detail and ability to self-manage tasks and timelines.

Excellent written communication and interpersonal skills.

Enthusiastic about real estate, marketing, and team culture.

Experience in real estate marketing, transaction coordination, or team operations preferred.

Experience with CRMs preferred.
