Pearl is seeking a proactive, hands-on Events Coordinator to plan and execute external events that reflect our brand and deepen our relationships with clients and the community. This dual-role position combines administrative accountability with active onsite coordination. Ideal candidates will be detail-oriented, personable, and ready to roll up their sleeves—whether managing a vendor contract or day of onsite logistics coordination.

Essential Functions

Event Planning & Administration (50%)

  • Manage all administrative aspects of event planning, including budgets, invoices, permits, vendor negotiations, venue bookings, and post-event reporting.
  • Create and maintain event timelines, task checklists, and communication with internal teams and external partners.
  • Track expenses and ensure events are executed within budget.
  • Maintain an organized events calendar and database of vendors, venues, and resources.
  • Track merchandise inventory.
  • Support vendor onboarding process.

Onsite Event Execution (50%)

  • Serve as the lead onsite representative during events, ensuring smooth setup, execution, and breakdown.
  • Direct vendors, volunteers, and staff as needed to deliver high-quality event experiences.
  • Troubleshoot onsite challenges with professionalism and quick thinking.
  • Represent Pearl Real Estate with warmth, enthusiasm, and an authentic commitment to community.
  • Required Education and Experience

  • 2+ years of experience in event coordination, hospitality, or a related field.
  • Strong administrative and organizational skills; detail-oriented with excellent time management.
  • Demonstrated ability to manage budgets, contracts, and timelines.
  • Proficiency in Microsoft Office and / or Google Workspace; familiarity with event planning tools a plus.
  • Comfortable lifting up to 40 lbs and being active on your feet during events.
  • Strong interpersonal skills and a passion for people and community.
  • Availability to work evenings and weekends as event schedules requires a must
