We are seeking a highly organized and detail-oriented Construction Administrator to join our growing team. This role is essential for ensuring accurate billing, contract compliance, and smooth coordination across multiple construction projects. The ideal candidate will have a strong background in construction administration, with specific experience in certified payroll reporting and prevailing wage compliance .

Key Responsibilities

Prepare, submit, and track monthly pay applications (AIA format strongly preferred)

Manage project documentation, including contracts, change orders, and compliance records

Prepare and submit certified payroll reports in compliance with prevailing wage laws

Coordinate and submit insurance certificates, lien releases, and prevailing wage documentation

Communicate with clients, subcontractors, and insurance providers regarding pay apps and compliance

Support project managers with scheduling, material tracking, and job progress documentation

Maintain organized and up-to-date project files for easy access and reporting

Assist with procurement tracking and closeout documentation

Use platforms such as Textura, Procore, Bill Connect, and QuickBooks to manage billing and compliance tasks

Qualifications

Minimum 2 years of experience in construction administration, project coordination, or contract management

Hands-on experience with certified payroll reporting and prevailing wage compliance

Strong understanding of construction pay applications, contracts, and compliance documentation

Proficiency with Microsoft Office (Excel & Word); experience with Textura, Procore, Bill Connect, and QuickBooks preferred

Exceptional organizational skills with high attention to detail and accuracy

Strong communication skills for client, subcontractor, and insurance interactions

Ability to manage multiple priorities under tight deadlines

Availability to work in person at our Phoenix office during renovations
