Job Description :

Job Title :  Executive Administrative Assistant for Diversity, Equity, and Inclusion

Status :   Non-Exempt Full-Time Position working 12 months per year

Wage Grade :   730

Reports to :   Vice President of Diversity, Equity, and Inclusion

Overview :   This position provides high-level administrative, operational, and project support to advance the strategic priorities of the Office of Diversity, Equity, and Inclusion. This full-time role manages day-to-day operations, oversees internal communications and scheduling, coordinates divisional budgeting processes, and supports key events and initiatives that promote institutional equity, inclusive excellence, and student success. The Executive Assistant serves as a central liaison between the Vice President for Diversity, Equity, and Inclusion and campus partners, ensuring that the office functions with efficiency, professionalism, and care.

Key Responsibilities :

  • Provides comprehensive administrative support to the Vice President for Diversity, Equity, and Inclusion (VPDEI), serving as a front-line ambassador who fosters a welcoming and inclusive office environment for students, faculty, staff, and visitors. Assesses the urgency of requests and ensures timely referral to appropriate campus resources.
  • Manages incoming telephone calls and inquiries from students, parents, campus offices, and community members; responds directly to needs or routes them to the appropriate contact.
  • Delivers general clerical support including drafting correspondence, preparing meeting agendas, composing routine emails and letters, and recording meeting minutes.
  • Oversees the maintenance of office physical files, ensuring records are accurately added, organized, and updated as needed.
  • Provides technical and administrative support, including managing the Vice President of Diversity, Equity, and Inclusion's Google calendar, scheduling meetings and room reservations, and preparing departmental reports and spreadsheets.
  • Assists in coordinating special projects and initiatives that promote campus-wide Diversity, Equity, and Inclusion awareness and engagement, including but not limited to trainings, professional development efforts, capital project coordination, and Office of Diversity, Equity, and Inclusion sponsored programming.
  • Coordinates logistics for events and travel as needed, including lodging, transportation, and itinerary planning.
  • Maintains office supply inventory and processes incoming and outgoing mail for the Vice President of Diversity, Equity, and Inclusion.
  • Prioritizes and manages the office workflow to ensure that assigned deadlines are met, collaborating effectively with divisional and campus colleagues.
  • Oversees budget tracking and invoice management for the Vice President of Diversity, Equity, and Inclusion's portfolio, including reconciliation of purchase card (P-card) transactions and receipts for the Vice President of Diversity, Equity, and Inclusion, Office of Civil Rights & Title IX, and the Office of International Student and Scholar Services (OISSS).
  • Serves as project manager for assigned special projects, establishing timelines, monitoring progress, managing budgets, and ensuring completion of deliverables.
  • Coordinates and provides administrative support for regular meetings and convenings, including weekly, monthly, semesterly, or annual gatherings of the DEI Division staff, the Bias Education & Support Team (BEST), the Diversity Council, the DEI Division Retreat, and Board of Trustee reports prepared in advance of scheduled board meetings.
  • Provides logistical and operational support for OISSS programs such as pre-arrival orientations, international student arrival, international student orientation, welcome weeks, and summer bridge programs.
  • Conducts proactive outreach to students identified through academic alerts, retention flags, or other concerns, offering care-based check-ins and determining which students require direct intervention from Office of Student Inclusion and Diversity (OSID), OISSS, or other campus partners. Serves as a first point of support in assessing needs, providing resource referrals, and escalating cases to the Vice President of Diversity, Equity, and Inclusion or appropriate staff when deeper follow-up is warranted.
  • Supports initiatives and events related to the Office of Civil Rights & Title IX, including scheduling, material preparation, and tabling coordination.
  • Provides confidential administrative support for Title IX investigations, including verifying the accuracy of investigatory interview transcripts.
  • Recruits, trains, and supervises assigned student workers, ensuring meaningful work assignments and providing regular feedback on performance.
  • Collaborates with divisional staff and campus partners to advance the mission and initiatives of the Office of Diversity, Equity, and Inclusion.
  • Maintains and updates Diversity, Equity, and Inclusion department social media platforms and coordinates with the Office of Communication and Marketing to keep website content current and relevant.
  • Contributes to the efficiency and continuous improvement of the Division of Diversity, Equity, and Inclusion by identifying and implementing process improvements and best practices.
  • Serves as a designated Building Safety Officer.
  • Performs other administrative duties as assigned.

Requirements :

Education & Experience :   High School diploma or GED required. Bachelor's degree or an equivalent combination of education and experience preferred. Previous experience providing high-level administrative support, preferred. Previous experience in educational or academic settings supporting student success, including assessing student needs and connecting them with appropriate resources preferred. Experience with event planning and coordination, including managing logistics, communication, and follow-up preferred.

  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software applications.

  • Demonstrated ability to handle confidential information with discretion and in accordance with established protocols.
  • Detail-oriented, with a high degree of accuracy in work output.
  • Ability to effectively manage multiple priorities in a fast-paced environment with frequent interruptions, while maintaining focus, accuracy, and professionalism.
  • Ability to work independently while also contributing collaboratively to a team environment.
  • Demonstrated commitment to equity and inclusion in serving a diverse community of students, staff, and faculty.
  • Multi-lingual proficiency preferred.
  • Working Conditions and Expected Hours of Work :    This is a full-time position working 12 months per year with a 40 hour work week. Standard days and hours are Monday - Friday 8 : 00 : 30 , and with supervisory approval, overtime may be required. This position may occasionally be required to work outside of these standard hours to meet the needs of employee groups. This position is primarily based on campus in an office setting with occasional off-site meetings or events. This role operates in a professional office environment and routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets, and scanners.

    Physical Requirements :

  • Must be able to lift 25 pounds on a frequent basis.
  • Able to frequently move about inside the office to access file cabinets, office machinery, etc.
  • Consistently operates a computer and other office machinery such as printer, copy machine, calculator, and other equipment.
  • Must be able to listen, hear, speak, read, write, and concentrate.
  • Must be able to climb stairs, bend, stoop, and stand for intermittently long periods of time.
  • Must be able to exchange accurate information in person, or by video or phone.

    Pay and Benefits :   This position is budgeted to pay between $17.00 and $18.00 per hour.
