Accounts Payable Clerk

Summary :

Under the general supervision of Accounts Payable Manager performs a variety of clerical duties such as processing department mail maintaining filing and storage systems. Prepare clerical information for monthly processing of Capital Equipment and Bond Issue activity.

Perform other clerical duties as needed using a variety of automated office equipment.

Responsibilities :

Open date stamp sort and distribute department mail.

Maintain neat and orderly filing system for department. File all check stubs along with appropriate back up materials. Respond to requests for A / P materials such as back up materials check numbers and dates. Retrieve requested material copy and refile originals. Research and locate missing materials and check numbers as needed.

Responsible for taking dated materials out of department files and preparing for storage at off-site storage facility. Preparation includes boxing labeling boxes; completion of request forms for pick up. Maintain file of department items in storage with identifying box numbers and dates of storage. Retrieve department materials in storage as requested. Maintain flow chart of all stored items pulled and returned.

Research in automated system all check numbers necessary for monthly processing of Capital Equipment and Bond Issue information. Retrieve copy and refile all back-up materials as needed.

Perform other clerical duties as may be required.

Other information : BASIC KNOWLEDGE :

Equivalent to high school diploma.

Basic knowledge of English and mathematics sufficient to maintain alphabetical and numeral filing systems.

Demonstrated competence in computerized Data entry and retrieval.

Knowledge of word processing and basic office equipment including multi-line telephone fax and copying machines.

EXPERIENCE :

Six months to one year of related experience.

Data entry skills and PC experience required.
