Talent Acquisition Coordinator
We're looking for an energetic, detail-loving Talent Acquisition Coordinator who thrives in a fast-paced, team-oriented environment and loves creating exceptional experiences for candidates and colleagues alike.
Responsibilities :
Orchestrate executive search activities (AVP+) – coordinate with firms and manage high-touch scheduling with professionalism and discretion
Deliver an unforgettable candidate experience – from gathering up travel details and arranging on-site logistics to virtual interviews and executive-level meetings across all locations
Coordinates all logistics and ensures candidates have a best-in-class experience for all onsite executive candidate visits, including but not limited to interview room holds, catering, video setup, visitor badge, on-site escorting, area tours, car service, hotel, etc. – serves as main point of contact and liaison while candidate is on-site
Serve as the primary point of contact every Monday, welcoming new hires and setting up the virtual Day One Orientation session in a designated conference room
Serve as the go-to coordinator for Talent Acquisition Advisors, ensuring interviews, meetings, and communications are seamless
Partner across the enterprise – collaborate with other Executive Administrators and business leaders to manage calendars and logistics
Oversee ServiceNow requests and keep onsite interviews organized and on track
Participate in company-wide and team-specific meetings as appropriate
Organizes and maintains all executive recruitment materials
Creates efficiency with existing materials / processes
Contribute to ad-hoc HR projects, including process improvement and documentation
Qualifications :
In-office a minimum of days a week, with flexibility up to days depending on workload; additional days may be required at times.
years of experience providing high-level administrative support or coordination in a corporate or enterprise environment (Executive Admin or TA Coordination experience a plus).
Bachelor's degree preferred
Experience with Applicant Tracking Systems (Workday experience a huge plus!).
Deep experience with Microsoft Office applications including Outlook calendar management, email, and other productivity tools.
Expert-level organization, communication, and attention to detail
Highly organized, proactive professional who can juggle priorities and remain composed under pressure
Comfortable and willing to take on administrative duties, heavy workflow processing, and collaborate with clients to problem-solve issues
Ability to demonstrate flexibility and shift priorities as needed
Strong ethics and integrity; comfortable working with confidential information
