Job Summary
As the Executive AV Technology Specialist for the President’s office and the University Executive Operations Team (UEOT), provide unparalleled concierge-level audiovisual support. This role reports directly to the VP, Chief of Staff and combines technical expertise with executive service, ensuring seamless operations during critical events and day-to-day activities. Collaboration with centralized IT is essential, with a dotted line reporting structure to IT to maintain alignment with IT standards and procedures while serving the President’s office.
This position involves travel to various locations and campuses within the US with possible international travel. Given the nature of handling confidential information, it demands a high level of professionalism, discretion, and adherence to privacy protocols. Knowledge, Skills and Abilities A. Required Qualifications
Minimum of 2 years of experience in executive-level AV support or related field.
Experience working in an educational institution or similar environment. Preferred Qualifications Bachelor’s degree in a related field Essential Job Duties Key Responsabilities Executive Concierge Services : Provide concierge-level AV support for all key events of the President’s office, including UEOT meetings, Board meetings, and other special events. Liaise with the Special Events departments and outside entities where events are being held to ensure seamless AV setups and support. Key Responsabilities Oversight, Collaboration, and Coordination : Provide oversight and leadership in AV support for events, meetings, and day-to-day operations of the President’s office. Collaborate with centralized IT, special events departments, and external vendors to coordinate AV setups, equipment rentals, and technical support for events as needed. Ensure seamless execution of AV services by maintaining effective communication channels and coordinating resources as needed. Key Responsabilities Technical Support and Troubleshooting : Respond to support requests, troubleshoot technical issues, and provide solutions to ensure optimal performance of AV systems during events and regular operations for the President’s office. Key Responsabilities Backup Plan Coordination : Develop and implement backup plans for AV setups and support in collaboration with IT. Coordinate with IT to ensure redundancy and continuity of AV services in case of equipment failures or technical issues during events. Additionally, collaborate with the President’s office to provide backup support to IT for urgent campus needs, ensuring seamless operations and technical assistance as required. Key Responsabilities Travel Support : Travel with the President’s office to multiple locations and campuses, providing on-site AV support and ensuring equipment readiness for events and meetings. Key Responsabilities Inventory Management : Maintain and track AV inventory for the President’s office, ensuring availability of equipment for events and day-to-day operations. Coordinate with procurement and IT teams for inventory updates and replacements as needed. Key Responsabilities Quality Assurance : Conduct quality checks on AV setups, equipment functionality, backup systems, and event support to ensure high standards of service delivery and customer satisfaction. Key Responsabilities Documentation and Training : Maintain documentation of AV setups, configurations, backup plans, and troubleshooting procedures. Provide training to staff members on backup procedures and coordination with IT for seamless transitions.
