Study Abroad Event Coordinator
The University of Miami's School of Communication will offer a Coral Gables-campus based study abroad course to students enrolled from the University of Navarra scheduled from May 18 to May 31, 2025. The intensive, experiential course includes workshops, labs, guest speakers, field trips, screenings, and group projects as well as traditional lectures.
The Event Coordinator will be responsible for assisting the Faculty Coordinators in coordinating all workshop activities, overseeing all details, and ensuring effective communication among all participants.
Pre-Session Logistics
Help set up daily schedule conceptual as well as logistics
Help identify guest speakers and field trips, email invitation letters (new letters and revise letters from last year), and confirm with speakers in advance and just prior to session
Schedule classroom, same as last year
Set up planning meetings with faculty
Coordinate welcome dinner, liaise with business office - Claudette Morgan. Has been at Monty's.
Coordinate welcome reception at Lakeside, sandwiches, etc. Claudette will probably help with reservation of space.
Other pre-course tasks as needed
Disseminate readings and material to the students mid March
Session Logistics
Confirm guest speakers and field trips once more at the beginning of May
Create faculty WhatsApp group and send evening reminders to faculty about next day's activities and who is responsible for what
Facilitates students' daily activities and supports communication between instructors and students
Be on hand over the two weeks to help handle issues as they arise. There were snafus with the meal plan payment cards, for example. Serve as backup when the Faculty Coordinator is not present.
Other things as needed
Attend morning sessions and then be on call as needed. May attend some of the field trips.
Minimum Qualifications
High school diploma or equivalent. A Bachelor's degree in communications- or media-related field preferred.
Minimum 1 year of relevant experience; 2 years of relevant experience preferred.
Demonstrated skills in completing assignments on time and accurately
Strong problem-solving skills and ability to take initiative
Ability to organize and prioritize work while meeting deadlines
Excellent attention to detail
Strong verbal and communication skills
Ability to work independently as well as in a collaborative environment
Proficiency with basic digital production skills and editing software (e.g., Adobe Premiere)
