The automotive markets Holman serves include fleet management and leasing; vehicle fabrication and upfitting; component manufacturing and productivity solutions; powertrain distribution and logistics services; commercial and personal insurance and risk management; and retail automotive sales as one of the largest privately owned dealership groups in the United States.
Job Duties :
- Execute all title work through appropriate systems or agencies, such as CVR or out-of-state tag agencies.
- Maintain, request, and reassign vehicle titles as necessary.
- Register vehicles sold with the Department of Motor Vehicles (DMV).
- Oversee the Tag and Title schedule, including processing refunds for any overpaid registration fees.
- Accurately file documents with state reporting agencies for titling and registration.
- Review contract documents to ensure compliance with regulations and dealership policies.
- Audit transaction deals and scan any missing items into deal jackets within dealership management systems, such as CDK.
- Manage dealer plates, conduct DMV audits, and report any lost or stolen dealer plates.
- Process vehicle sales documentation.
- Handle the processing and cancellation of all service and sales contracts.
- Supervise the flow of paperwork between the Finance Department and other departments.
- Assist with billing for wholesale transactions and reassigning titles for auctioned vehicles.
- Provide support to colleagues in various office tasks as needed.
- Perform all other duties and special projects as assigned.
Based upon dealership location, other duties assigned may include :
Reconcile relevant account schedules.Prepare daily deposits and journal entries as required.Assist in reconciling the equipment due schedule and make necessary adjustments to correct discrepancies.Review and submit contracts to lending institutions to facilitate funding.Maintain a thorough understanding of other office positions to provide backup support, including for the Office Manager / Controller.Education and / or Training :
High School Diploma or equivalentAdditional education, certifications, or experience are a plusProficient in various desktop tools including MS Office Programs (i.e. Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint etc.)Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.Relevant Work Experience :
2-3 years experience working in an office environment or administrative roleExperience in an automotive dealership or similar industry a plusProficiency with accounting software and dealership management systems (e.g., CDK) a plusProficiency in a technical or functional area; knowledge of work processes and tools is generally limited to own area of responsibility or departmentUnderstanding of accounting principles and bookkeeping software may be requiredReviewing and improving processes, methods, and tools to increase efficiency, accuracy, and security#LI-GC1
