Work Schedule : Monday- Thursday 7 : 30am-4 : 00pm and Friday 7am-3 : 30pm MUST be willing to be flexible as jobs may change
Position Responsibilities of the A / P Admin :
Enter invoices into the accounting system (Timberline / Sage)Match invoices to purchase ordersReview all invoices for appropriate documentationObtains approval for payments, generates AP & refund checks, and then obtains necessary signaturesCharge expenses to accounts and cost centers by analyzing invoice / expense reports; recording entriesPay vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks; contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memosVerify vendor accounts by reconciling monthly statements and related transactionsMaintain historical records and organizes and files documentsMaintains all AP reports, spreadsheets and corporate AP filesFiles paid / unpaid invoices and statementsProtect organization's value by keeping information confidentialAnswer all vendor inquiries and maintains positive vendor relationshipsAct as liaison between corporate and branch locations regarding accounts payableAccomplish accounting and organization mission by completing related duties as neededAssists in the completion of special projects as warrantedCompletes other duties as needed and assignedBasic Qualifications of the A / P Admin :
High School Diploma or EquivalentMinimum 1 year of administrative experience in an office settingPrevious experience and a working knowledge of Microsoft Word, Excel and Outlook are a mustMust have good communication skills, be professional, personable and matureExperience with Timberline and Sage a plusValid Driver LicenseAdhere to company screeningsPhysical Requirements
