Program Administrator
Power your future with Qualus in our Applied Solutions department as a Program Administrator. The Program Administrator is responsible for the overall support of a full range of program and office-specific tasks to ensure the successful completion of a large Engineering, Procurement, and Construction (EPC) program. This position's primary responsibilities are ensuring project administration and organizational effectiveness by providing exceptional support to the Qualus project team members on assignments to specific client projects.
Responsibilities
Support provided to field personnel may be needed with safety and corporate postings in job site trailers, as well as other elements as may be identified.
Ensuring safety equipment is stocked and replace elements as needed.
Occasionally visiting job sites to deliver various items, conduct inventory of equipment, and identify supply refresh as needed.
Take initiative in organizing and supporting office systems and processes by creating new forms in MS Word, MS Excel, or a PDF program.
Schedule staff usage of the corporate conference rooms.
Interface with other Qualus corporate administration staff to coordinate various events like visits from executive staff, collaboration for team meetings, and planning employee appreciation events.
Book travel and prepare staff travel itineraries.
Track project specific vehicle assignments and roll-up reports for the Project Accounting team.
Utilize Microsoft Word and Microsoft Excel to support staff with the development of project specific documents and template development for work product efficiencies.
Manage project team member contact information and associated gear and equipment assignments.
Assist project staff with preparation and packaging of any mailings, as well as receiving packages and ensuring delivery to job site as needed.
Maintain inventory of office supplies, making orders when needed.
Maintain inventory of appropriate toner cartridges for all office printers and copiers.
Interface with vendors for service and maintenance of office machinery and building equipment.
Maintain overall orderly and clean office environment by loading and running the dishwashers when necessary, watering all office plants, and managing the cleaning staff as needed.
Run errands for the company as needed by project staff.
Coordinate staff lunches and various catering for events as needed.
Other administrative tasks as assigned and / or needed.
Qualifications
High school diploma is required.
Preferred experience as Receptionist or similar / equivalent role.
Good computer skills and proficient in Excel, Word and Outlook.
Ability to operate other office machinery and equipment such as copiers, faxes and telephone equipment is required.
Must have a Nevada current drivers license and car that is available to drive to job site (will be reimbursed for mileage).

The expected compensation range for this position is based upon several factors, including but not limited to education, qualifications, prior relevant work experience and work location.
