Responsibilities

The position provides a wide-range of administrative support, including :

  • CDB Information Management / Record Keeping - Manage department email groups, shared calendar, including intranet, entering information in to DART, managing the intranet, and support communications with newsletters, reviewing publications for CDB chair, working with Life Science Institute to keep LSI / CDB faculty information up to date. Ensure the department's events and updates digital board is up to date, managing the department's shared equipment sign up form
  • Work with the academic affairs program manager to support PhD and Post Doc program implementation and logistics, course schedules, event planning, student registration, thesis committee meetings, database management, and handbook updates
  • Onboarding / Offboarding - Manage onboarding and offboarding process and documentation, manage account access, work with leadership to maintain onboarding guides for faculty, trainees, and staff, send exit surveys
  • Events and Meeting Management and Support - Location selection, room reservation, catering, registration, and attendee tracking.
  • General Office Duties - Building access, sort and deliver mail, manage supply orders, call in work orders for building issues, manage printer / equipment issues, manage award tracking, send thank you notes as donations are received, cash deposits, timekeeping (backup), expenses reporting (backup), device ordering (backup).

    • Required Qualifications

  • Bachelor's degree or equivalent combination of education and experience is required.
  • Exceptional organizational, written, and verbal communication skills.
  • Exceptional interpersonal skills and the ability to work independently and within a team with minimal supervision.
  • Ability to prioritize and manage multiple assignments.
  • Ability to interact with and build professional relationships with faculty and staff at all levels.
  • Proficiency in computer software, including Microsoft Word, Excel, and PowerPoint.
