Position Summary
As the IT Office Coordinator, you will help manage the daily flow of our IT Help Desk operations—triaging incoming requests, supporting end users, and keeping the department organized and running efficiently. In this role, you will provide frontline assistance to staff experiencing technology issues, ensuring they feel supported, heard, and guided toward a timely solution.
You will work closely with the IT Support team to assign and track support tickets, maintain inventory, support departmental communication, and keep essential administrative functions on track. This position is a great fit for someone who is highly organized, calm under pressure, and motivated to expand their technical skill set.
Key Responsibilities
Help Desk Coordination & Customer Support
- Triage and respond to IT Help Desk inquiries via phone, email, and in person
- Provide friendly and professional first-level technical support to users; escalate more complex issues to the appropriate IT team member
- Assign, monitor, and follow up on IT support tickets to ensure timely resolution
- Maintain clear communication with staff regarding ticket status, next steps, and expected timelines
Operational & Administrative Support
- Track, organize, and maintain IT equipment, inventory, and supply orders
- Support department scheduling, documentation, and general office workflows
- Assist with data entry, reporting, and process tracking for internal IT operations
- Help maintain a well-organized, productive, and customer-centered IT environment
- Ensure reliable attendance, punctuality, and professional communication at all times
Minimum Requirements
- Minimum of 3 years of experience in customer service, administrative support, or a related role
- Strong interest in technology; basic understanding of IT systems and terminology (training provided)
- Exceptional organizational skills, with the ability to prioritize tasks and manage multiple requests simultaneously
- Clear, confident communication skills - comfortable assisting users with varying levels of technical comfort
- A proactive, problem-solving mindset and a commitment to high-quality service
- Valid driver’s license and reliable transportation (travel between Northampton and Springfield required)
