Position Overview :

We are seeking a detailed and organized Project Coordinator to join our growing team at Summit Point Roofing. This role ensures that all elements of commercial roofing projects—steep and low slope—run smoothly, stay on schedule, and remain within scope and budget. The position blends logistics, client communication, and project coordination across the entire project lifecycle, from post-sale handoff to job closeout.

Core Responsibilities :

Coordinate all aspects of the commercial job production lifecycle across both steep and low slope divisions.

Prepare jobs in software tools and ensure materials, travel, and job readiness items are in place.

Communicate proactively with clients about schedules, project changes, and progress updates.

Create and manage client communication folders after a purchase order is received.

Schedule and lead internal / external meetings with the team and clients.

Gather and prepare job materials for the foreman (SDS sheets, CAD drawings, contact lists, etc.).

Send daily field updates to clients and sales.

Track job costs and hours in the CRM for invoicing readiness.

Coordinate material orders for replacements and specialty items (skylights, flashings, etc.).

Handle travel logistics for crews (hotels, per diem).

Support dispatching and field scheduling, especially during peak workloads.

Assist with invoicing and ensure prompt communication with clients for payment processing.

Monitor and follow up on job progress, ensuring timely closeout and client satisfaction.

Maintain compliance with industry and safety standards.

Qualifications :

Excellent verbal and written communication skills.

Strong organizational skills with keen attention to detail.

Ability to manage multiple tasks and prioritize effectively.

Experience in a production or coordination role (roofing or construction preferred).

Familiarity with CRM systems, Microsoft Office, Google Suite, and job management platforms.

A proactive, problem-solving mindset with a collaborative attitude.

Ability to travel to job sites occasionally and handle light physical tasks.

OSHA knowledge and safety compliance experience is a plus.

Physical Requirements :

Ability to work in a fast-paced environment with occasional field visits.

Comfortable with climbing ladders and accessing rooftops as needed.
