Office Coordinator
The Austin Studio is searching for an Office Coordinator. The core responsibilities of the role include :
- Greet and welcome visitors with a friendly and professional demeanor, ensuring a positive first impression of Perkins&Will.
- Provide administrative support such as receiving and distributing packages, coordinates shipping and couriers, maintain calendars, print documents, and answer phone calls.
- Respond to inquiries from clients, customers, and employees, providing accurate information or routing them to the appropriate resources.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Schedule and coordinate logistics for Lunch & Learns with reps.
- Assist in ordering / coordinating office supplies, food, coffee, and beverages. Assists with keeping kitchen clean, stocked, and organized.
- Assist with scheduling and coordinating office meetings / events and internal / external social gatherings or functions. Coordination of these functions can include sending out invites, studio furniture set-up and office tours.
- Provide administrative support to various departments, including document preparation, data entry, and shipping / courier.
- On occasion, coordinate and arrange travel accommodations and itineraries as required.
- Follow company procedures for security, health, and safety to maintain a safe working environment.
- Collaborate with Operations Director to ensure efficient operations and provide support as needed.
- Stay updated on company policies, procedures, and upcoming events to provide accurate information to visitors and employees.
- Adhere to professional and ethical standards, maintaining confidentiality of sensitive information.
- Additional administrative duties and tasks as assigned.
